## Role Overview: Accounting, Administration & Finance Assistant

As an integral member of the team, you will provide critical operational support to ensure the smooth execution of bilateral initiatives, working closely with local disaster management agencies and embassy staff.

Key Responsibilities

1. Programme Implementation Support
* Assist the Indonesian National Board for Disaster Management (BNPB) in drafting financial and administrative paperwork aligned with Swiss Agency for Development and Cooperation (SDC) guidelines, including Terms of Reference, procurement requests, and contracts.
* Review and verify financial documents generated by BNPB and Direct Action teams, ensuring strict adherence to procurement protocols and local standards (Standar Biaya Masukan / SBM).
* Coordinate closely with the embassy’s finance department to fast-track payment approvals and process contracts utilizing the ESPRIT tool.
* Facilitate the clearance of cash advances and post-activity due payments.

2. Accounting and Financial Reporting
* Daily Accounting: Perform quality control on payment requests, execute bank system registrations, handle first-tier payment approvals, input data into accounting software (Vision +), and maintain meticulous digital and physical filing systems.
* Monthly Reports: Compile SAP extracts, audit financial documents and booking vouchers, and prepare comprehensive monthly accounting summaries for managerial sign-off.
* Financial Forecasting: Update quarterly cash flow projections based on evolving work plans and assist managers in tracking budgets, ongoing purchases, and active contracts.
* Cross-Support: Provide occasional backup assistance to the embassy's primary bookkeeper during lighter operational periods.

3. Administration, Logistics, and Quality Control
* Oversee correspondence management and maintain organized institutional archives.
* Conduct thorough quality assurance checks on external and internal documents—such as concept notes, progress reports, minutes, and public statements—produced by project officers.
* Coordinate logistics for field missions, project steering committee meetings, and specialized workshops.

4. Communication and Event Coordination
* Perform minor translation tasks between Indonesian and English.
* Assist in organizing official delegation visits, public events, newsletters, and social media outreach.
## Candidate Profile: Essential Qualifications

* Educational Background: Hold a Bachelor’s degree in Accounting, Finance, Business Administration, or a closely related field.
* Professional Experience: Possess two to five years of proven experience in financial reporting, procurement, logistics, and administrative management within international cooperation frameworks in Indonesia. Backgrounds in disaster risk management are viewed favorably.
* Regulatory Knowledge: Demonstrate a strong understanding of Indonesian government financial policies and regulations, particularly SBM guidelines.
* Technical Proficiency: Exhibit advanced computer literacy, including mastery of Microsoft Word, Excel, and specialized accounting software.
* Core Competencies:
